Fuel Card Setup

Every gallon, matched to the truck that pumped it.

With a fuel card linked, the platform checks every purchase against where the vehicle actually was, what it holds and what it burns, and flags the ones that do not add up. Your fuel cards usually arrive 5–10 business days after your fuel account is opened: time enough to set this up.

Gather three things per vehicle

  1. Fuel card numberThe short card number assigned to that vehicle, usually a 1- or 2-digit number based on fleet size (for example 2400 is entered as 2400).
  2. Fuel typeUnleaded or diesel (CNG, propane and E85 are also available).
  3. Tank capacityThe vehicle's fuel tank size. Get this right: the capacity alert depends on it.

Set up each vehicle

  1. Confirm the linkOnce support confirms your fuel account is linked to the platform, sign in at gpsleaders.com/login.
  2. Enter the detailsOn each vehicle, enter its card number, fuel type and tank capacity.

Fuel capacityMore fuel was bought than the vehicle's tank holds

Two fuel reports

Run either one now, or schedule it daily, weekly or monthly.

Good to know. Fuel-card integration requires a supported fleet fuel-card account. Alerts are only as accurate as the tank sizes and fuel types entered.
